We are looking for an organised, diligent and pro-active full-time Company Administrator to join our ambitious and dedicated team. This is a key administrative and facilities role that is office-based to ensure the smooth running of the office, studio and tour logistics.

The Company

Cassa Pancho’s Ballet Black is an award-winning company known for its innovation, creativity, and authenticity. Built over twenty-five years by Founder, Artistic Director & CEO, Cassa Pancho, Ballet Black is now gearing up for the next stage in its development, and it is an exciting time to join us.

Ballet Black, founded in 2001, is the UK and Europe’s first Black professional neoclassical ballet company. An Olivier Award and Black British Theatre Award winner, we champion diversity on stage, commission new work, and create life-changing career pathways for Black and Asian dancers and creatives. To date we have produced 70 new ballets and are recognised as a leading force in reshaping British ballet and its audiences.

Our 25th Anniversary production is touring award-winning work across the country and in three premiere London venues including Linbury Theatre, Sadler’s Wells and Hackney Empire.

Embedded in our long-term talent-development strategy is our community and outreach programme delivered through the Ballet Black Junior School enabling around 200 children and young people aged 3-18 to attend 850 classes each year. And our Trainee and Apprenticeship programme for recent graduates hosts places for young dancers to gain essential career experience of rehearsals, production and touring.

As one of the few small touring dance companies working at the mid-scale, we reached over 10,000 audience members at 11 venues in 2025 and are on track to reach 20,000 across 15 venues this year. Our company includes 11 dancers of Black and Asian heritage, including a Trainee and an Apprentice artist, both from the United Kingdom. We also advocate for wider industry change, including collaborating with Freed of London to produce the first UK-made skin-tone pointe shoes and tights for Black, Asian and dual-heritage dancers.

Ballet Black continues to play a key role in diversifying the UK dance sector. Over the next two years we will focus on creative growth, nurturing the next generation of talent, and expanding audiences.

Company Administrator job duties

Administration

  • Ensure the smooth day-to-day running of the office and studio.
  • Act as the first point of contact for general enquiries via phone, email, and in person.
  • Coordinate recruitment processes, including job adverts, freelance opportunities, auditions, and company class requests.
  • On-board and induct new staff, dancers, teachers and assistants where required
  • Maintain company records, including personnel files and emergency contacts, and support new starters with employment information.
  • Manage DBS checks, and renewals.
  • Support Friends activities, company events, and performances, including managing guest lists, invitations, and ticketing.
  • Coordinate and produce the quarterly Friends Newsletter.
  • Provide administrative support to the Artistic Director, Senior Producer and General Manager as required.
  • Review and maintain policy documents for monitoring and reporting our Environmental Policy linked to touring for Julie’s Bicycle.
  • Support the General Manager with their data collection for Board reporting, ACE monitoring, annual surveys, and Illuminate reporting.

Performance and Touring Logistics

  • In liaison with the Producers, arrange travel for the company and technical staff, including booking and issuing tickets and itineraries.
  • Source and book suitable hotels and accommodation for tours.
  • Arrange couriers for the transport of equipment, set, and props, and liaise with theatre technical and production contacts, as necessary.
  • Support and, where required, lead on the loading and unloading of vans.
  • Maintain and restock flight cases (e.g. haberdashery, printed programmes, props) in a timely manner.
  • Manage and catalogue props and costumes to ensure safekeeping and accessibility of storage and archival materials.
  • Oversee laundry and dry-cleaning to ensure wardrobe is well maintained and performance-ready.
  • Support merchandise sales at selected London performances.

Office and Studio Facilities

  • Coordinate day-to-day building administration and general operational functions.
  • Maintain studio, office, and shared spaces, ensuring they are clean, presentable, and well stocked.
  • Manage packing and dispatch of merchandise orders from the Ballet Black online shop.
  • Oversee stocktakes of merchandise and Ballet School uniform for audit reporting.
  • Coordinate dancer appointments (e.g. shoe fittings, physiotherapy), and respond to ad-hoc requests and enquiries.
  • Order and manage stock of company ballet shoes.
  • Process staff and dancer expense reimbursements.
  • Monitor post and order stationery, office supplies, and general consumables.

Other Duties

  • Carry out any other reasonable duties appropriate to the level of the role, as required to support the smooth running of Ballet Black.

Person Specification

Essential

  • At least 2 years’ administrative experience.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills, with the ability to engage effectively with staff, freelancers, Trustees, and the public.
  • Proactive and able to work independently as well as collaboratively within a team.
  • Good IT skills, including Microsoft Excel and Word.
  • Flexible approach, with willingness to work additional hours during busy production periods.

Desirable

  • A strong interest in the performing arts.
  • Familiar with CRM and invoicing systems such as Membermeister database

Outline of Terms and Conditions

Reports to: General Manager

Job type: Fixed term contract of 12 months with potential to extend

Salary: £30,000-£32,000 per annum depending on experience, plus 3% pension contribution following successful completion of a 6-month probationary period.

Hours: 40 hours per week, typically 09:00–17:00, Monday to Friday. Flexibility required for evening and weekend work. Time off in lieu will be provided.

Annual leave: 28 days per year, including public holidays.

Notice period: 3 months on either side.

Location: Ballet Black Studio, Holy Innocents Church, Hammersmith, Paddenswick Road, W6 0UB

Office-based role, Monday to Friday, 9:00 -17:00.

Some evening and weekend work will be required.

The role involves manual handling (e.g. lifting or moving equipment and deliveries)
