We are looking for an organised, diligent and pro-active person to join our ambitious and dedicated team as Ballet School Coordinator. This is a key administrative role that is office-based to ensure the smooth running of the Ballet Black Junior School.

The Company

Ballet Black, founded in 2001 by Cassa Pancho, is Europe’s first Black professional neoclassical ballet company. An Olivier Award and Black British Theatre Award winner, we champion diversity on stage, commission new work, and create lifechanging career pathways for Black and Asian dancers and creatives. To date we have produced 70 new ballets and are recognised as a leading force in reshaping British ballet and its audiences.

Ballet Black is one of the UK’s most prolific commissioners of new ballet and our 25th year anniversary production is touring Award-winning work across the country and in three premier London venues including Linbury Theatre, Sadler’s Wells and Hackney Empire.

Embedded in our long-term talent-development strategy is our community and outreach programme delivered through the Ballet Black Junior School enabling 170 children and young people aged 3-18 to attending 850 classes each year. And our Trainee and Apprenticeship programme for recent graduates hosts places for young dancers to gain essential career experience of rehearsals, production and touring.

As one of the few small touring dance companies working at the mid-scale, we reached over 10,000 audience members at 11 venues in 2025 and are on track to reach 20,000 across 15 venues this year. Our company includes 11 dancers of Black and Asian heritage, including a Trainee and an Apprentice artist, both from the United Kingdom. We also advocate for wider industry change, including collaborating with Freed of London to produce the first UK-made skin-tone pointe shoes and tights for Black, Asian and dual-heritage dancers.

Led by founder and Artistic Director Cassa Pancho who received an OBE in the 2026 New Years’ Honours, Ballet Black continues to play a key role in diversifying the UK dance sector. Over the next two years we will focus on creative growth, nurturing the next generation of talent, and expanding audiences.

Ballet School Coordinator (Freelance)

The BBJS Coordinator manages the day-to-day administrative and operational functions of the Junior School, acting as a key point of contact for families, teachers and staff, and ensuring the smooth coordination of classes, enrolment, and school activities.

Job duties

Administration 

  • Monitoring the BBJS email inbox and managing all correspondence and enquiries relating to the School and its students.
  • Communicating with parents and families regarding term dates, assessments, show dates, preparations, and class changes.
  • Handling parent enquiries via email and phone.
  • Maintaining and updating student profiles, including absences and injuries for records and teaching notes.
  • Maintaining the BBJS database using Membermeister.
  • Liaising with Producer and General Manager to review and update website, policies and application processes

School Coordination

  • Working with the Artistic Director to coordinate schedules, term dates.
  • Liaising with teachers regarding venues, classes, changes, substitute teachers, students, and term dates.
  • Booking freelance teachers and substitute teachers, and liaising with the Company Administrator for onboarding, DBS checks, contracts, and policy communication.
  • Coordinating studio hire bookings across BBJS locations and processing invoices.
  • Assisting with the organisation of the Annual BBJS show, including parent communications, coordinating volunteers and chaperones, and arranging costumes, dressing rooms, and attendance registers.
  • Organising BBJS Assessments, booking additional studio hours, teachers and examiners, and producing and issuing certificates of completion.
  • Organising annual Junior Assessment Programme auditions, coordinating studio, teacher and assessor bookings, liaising with applicants and assisting at auditions

Enrolment and processing 

  • Enrolling new students, advising on class options, arranging trial classes, and managing the full sign-up process, including personal and medical information.
  • Invoicing parents for term fees and uniform purchases, managing refunds, and tracking payment plans.
  • Managing BBJS scholarship applications and records, including eligibility checks, approvals, and payment plans.
  • Tracking and uploading student data, including scholarships and attendance,for ACE reporting systems such as Illuminate.
  • Ordering and managing uniform stock, including stock-taking in liaison with the Company Administrator.

Person Specification

Essential

  • At least 2 years’ of administrative experience.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills, with the ability to engage effectively with staff, freelancers, and the public.
  • Proactive and able to work independently as well as collaboratively within a team.
  • Good IT skills, including Microsoft Excel and Word.
  • Flexible approach, with willingness to work additional hours during busy production periods.

Desirable

  • A strong interest in the performing arts.
  • Familiar with CRS and invoicing systems such as Membermeister database
  • Qualified ballet teacher able to undertake cover where required

Outline of Terms and Conditions

Reports to:                    Artistic Director

Job type:                       Freelance and fairly flexible, requiring 2-3 days per week, depending on the School schedule (busier in periods leading up to the start of term or a show etc), ideally in the BB office to liaise with administrative staff, but some remote working will be possible.

Fee:                              £200 per day

Time requirement:         2-3 days per week, typically 10:00-17:00. Some flexibility required for evening and weekend work.
